As businesses grow, something interesting happens. Processes increase, decisions are required more quickly, and more hands are involved. Now, what once lived in someone’s head is suddenly expected to be a part of the business to help its growth and success. What… Not going to happen.
This is usually when SOPs enter the leadership conversation and yet, this is also where many SOPs quietly fail. Not because they weren't created but because the business has outgrown the way those processes were originally captured, documented, or explained.
Where SOPs Typically Break Down
In growing businesses, SOPs often fail for a few consistent reasons:
- They’re written too late, after workarounds have already become normal
- They reflect how someone thinks the work should happen, not how it actually happens
- They’re stored somewhere people rarely look
- They’re static, while the business continues to change
What starts as “we’ll document this later” slowly becomes “everyone just does it their own way.” That’s not a people issue. That’s an infrastructure and operational gap.
The Real Issue Isn’t Documentation, It’s Disconnect
- Most SOPs aren’t wrong. They just no longer work for day-to-day operations. They don’t evolve with the business.
- They don’t account for exceptions.
- They don’t support delegation the way leaders expect them to and eventually, they stop being used altogether.

AI doesn’t replace administrative work or you.
It supports it.
When used correctly, AI helps surface what’s already happening inside your business. The steps people take, the workarounds they rely on, and the processes that live in someone’s head instead of on paper.
It can help organize information, draft documents, and reduce reliance on memory. It can make it easier to see patterns and inconsistencies.
But AI still requires oversight.
- Someone has to decide what’s accurate.
- Someone has to determine what should be standardized.
- Someone has to ensure processes actually align with how the business operates.
That’s why SOPs should always be tied to a broader administrative and operational review. AI can speed up the process, the documentation but it does not replace accountability.

It’s a signal.
- A signal that processes need to be revisited.
- A signal that documentation may no longer match the reality of what is currently happening.

Phenomenal Woman That’s You Awards
This weekend. Whew!!! That is all I can say!! I had the opportunity to operate in two roles during the Phenomenal Woman That’s You Awards, hosted by Dr. Nadia Monsano. The first was as a team member, helping manage the logistics behind the scenes, and I also served as MC for the awards gala.
Serving as MC for the awards gala was such an amazing experience that I really enjoyed. The kudos throughout the evening made it worth every minute, including a moment when a close friend shared how proud she was to see me fully in my element.
I was also one of the recipients of a Phenomenal Woman Award, which made the weekend even more amazing.
The event took place over two days: a meet and greet on Friday and the awards gala on Saturday. There were 90+ women who were honored. I met some amazing people, reconnected with others, and had a great time. The energy in the room was electrifying, and the event was well done from start to finish.
Thank you, Dr. Nadia, for your vision and for trusting me to be part of this experience. It was a great weekend.
